Submission of Documents |
As you know, we have spent the past year converting to an Electronic Document
Management System. Described below are some steps that we are asking you to take to assist
us in maximizing the benefits of this system. We have greatly appreciated your flexibility
and assistance during what has been a difficult transition period.
- Depositions, briefs and other long documents that do not require an original signature
must be submitted to the North Carolina Industrial Commission in soft copy as well as in
paper copy. The soft copy, submitted on diskette or via e-mail, must be in either ASCII or
Microsoft Word 6 format.
- ALL documents for cases reported to the Industrial Commission in 1997 and beyond
are scanned into our electronic document management system. THEREFORE, do not
submit documents with extensive binding or tabs that extend beyond the end of the page.
They will be torn apart and may result in a delay in the processing of your documents. The
easier it is to scan the documents that you submit, the more expeditiously they will be
handled; for example, binder clips are preferable to staples.
- All documents must contain the IC file number on every page of the
document.
- Do not use highlighting to emphasize a point as this will result in the point being
greyed out once it is scanned. If you need to indicate a relevant section, do so with a
black pen.
- Except where required (for example, Agreements), do not send multiple copies of
documents and do not both fax and mail documents unless specifically requested to do so.
- You can no longer assume that the Deputy Commissioners will carry a paper copy of a case
that is being heard. Therefore, if you need to request information from our files, it is
necessary to do so prior to or subsequent to the hearing, we will no longer provide the
courtesy of offering documents for your review at the hearing.
