MEMORANDUM

TO: Carriers, Self-Insured Administrators and Members of the Bar

RE: Electronic Document Management System

As you may be aware, the Industrial Commission began operation of an Electronic Document Management System (EDMS) on March 31, 1997. Files opened on or after that date are stored in an electronic form, giving the Commission a virtually infinite storage capacity.

As with the implementation of any new system, we have come across aspects of the EDMS which required changes and many of these enhancements have now been added. However, in certain sections a backlog of work has developed. In our investigation of methods to erase this backlog, we have come across some areas where you can be of assistance.

Our current situation has created a time lag between the time a document arrives and when it is processed. As a consequence of this, our sections have been receiving multiple mailings of identical documents which add to the backlog of work. Additionally, we have identified several areas where you can assist us in ensuring that we have the highest quality images of documents in our system. Therefore, to assist us in solving this situation we are requesting the following:

  1. One Mailing-Please send only one mailing of documents.
     
  2. No Colored Forms-Send forms on white paper-colored forms are no longer required.
     
  3. No Highlighting-Please do not highlight the writing on forms and other documents.
     
  4. IC File Number-Please make sure that the IC File No. is on each page of every document that you submit to the Industrial Commission.
